Terms and Conditions – Birthday Parties

At the Gordon Brown Outdoor Education Centre we endeavour to deliver quality experiences to the children who visit. We are enthusiastic and work hard to create a positive and fun atmosphere for learning and will support all children to challenge themselves and gain valuable life experience. We aim to provide a clean and safe environment, be approachable and supportive to all who visit us at the centre.

 

We ask the following from parents bringing children to Birthday Parties at the Centre:

TIMING

·         Birthday parties run from the time indicated on your Party Programme.  Parties that start late will still finish at the scheduled time unless the late start was as a result of a problem with a staff member.

·         All parties last 2 hours – This includes 1½  hr of your chosen activity then 30 minutes to eat a birthday meal. You may provide your own birthday cake or we can provide one for £10.

·         Where possible we offer the option of toasting marshmallows over a campfire to finish. This extends the party time by 30 minutes and costs an additional £35.

·         Children must be dropped off and collected strictly according to the time of the event. Children cannot be left unsupervised at the Centre.  They must be handed over to the party organiser.

·         If a child arrives late, it is the parent’s responsibility to accompany the child to the location of the birthday party group.

 

NUMBERS – SIZES & AGES

·         Parties can be booked at a minimum charge of £120 which includes up to 12 children.  Additional children (maximum of 24 children) can be accommodated at £10 per child.

·         Children must be at least 5 years of age

·         Maximum numbers cannot be exceeded for any event.

·         We provide a leader, a teacher and one further assistant for all birthday parties

·         For birthday parties you must also provide 2 adults to help supervise activities.  You must provide 3 adults for groups of more than 16 children.

 

WHAT TO WEAR and BRING

·         Children must wear old clothing and footwear suitable for the activity the party organiser has chosen.

·         The centre can not be held responsible for any damage to clothing or footwear whilst at the centre.

·         Children must bring waterproofs, wellies and trainers – the centre can get very muddy even in summer.

·         Children must bring sun cream and a hat on sunny days and during the summer.  Sun cream should also be applied prior to the party as employees of the centre are not permitted to apply suncream to the children whilst they are with us.

·         We cannot accept any responsibility for lost property.  Children must be responsible for their own belongings.

·          Any lost property left behind at the centre after the party will be disposed of after 1 month to a Charity.

BOOKING & PAPERWORK

·         Refunds are only made when events are cancelled by GBOEC.

·         It is the parents responsibility to arrange appropriate insurance if they require it.

·         No smoking is permitted anywhere on the GBOEC site.

·         Party members must not behave in an anti-social fashion eg use offensive or insulting language, threatening behaviour or bullying.

·         GBOEC staff reserve the right to exclude any party members consistent to gross misconduct.  In such cases the cost will be totally borne by the party organiser.

·         Children must not leave the centre unless accompanied by a supervising adult.

·         All party members must show respect for centre property and equipment .  Costs for damage will be sent on to the party organiser.

·         Bookings by prior arrangement on either a Saturday or Sunday or during school holidays. Bookings will be confirmed on receipt of a completed booking form and £25 non-refundable deposit.

·         We reserve the right to amend activities due to circumstances outside of our control.

·         Final numbers (and this is the amount you will be charged for) must be provided to the centre no later than 7 days in advance of the party at which time an invoice will be emailed to the party contact.  The balance payable must be received by us prior to the party taking place.

 

ARCHERY PARTIES ONLY

·         Archery parties are for up to 8 people (£125) and up to a maximum of 12 (£185) people.

·         Consent forms (issued with your confirmation/schedule letter) must be signed by all parents of children attending.  It is the responsibility of the party contact to ensure that all these forms are issued and returned for all taking part at least 7 days before the party takes place.  An individual without a signed consent form is not permitted to take part.

·         Children must wear long-sleeved, old clothing and footwear suitable for archery.

·         No jewellery is permitted whilst taking part in the archery session.

·         Please ensure the long hair is tied back and out of the way.
